Privacy Policy

What we process

• Email address and Stripe customer/payment references for account, billing and access control.
• Usage counts: number of uploaded files, page counts, selected plan and conversion date/time.
• Security information: hashed IP address, hashed browser/user-agent and a strictly necessary signed cookie to prevent repeated free trials and abuse.
• Uploaded PDF files and generated output files temporarily during conversion only.

Purpose and lawful basis

• To provide the PDF conversion service and enforce plan limits: contract/performance of requested service.
• To process payments and maintain accounting records: contract and legal obligations.
• To prevent misuse, repeated free trials and fraud: legitimate interests.
• To respond to GDPR/data requests: legal obligations.

Uploaded PDFs and retention

Uploaded PDFs are used only to create editable Word, editable Excel and clean Excel outputs. The application is designed not to permanently store PDF contents. Temporary input and output files are deleted after the download response is prepared. Do not upload documents unless you are authorised to process and convert them.

Processors and subprocessors

We may use hosting providers, Stripe for payments, domain/email providers and technical support providers. Stripe handles card details directly; this service does not store full card numbers.

International transfers

Where a processor transfers personal data outside the EEA, we require appropriate safeguards such as EU Standard Contractual Clauses or equivalent lawful transfer mechanisms.

Your rights

You may request access, rectification, erasure, restriction, portability or objection where applicable. You also have the right to complain to the Irish Data Protection Commission. Contact us first at support@accountsautomation.ie.

Security

We use HTTPS in production, hashed abuse-prevention identifiers, server-side plan checks, page/file limits, temporary file deletion and Stripe-hosted payment pages.
